A safe rollout plan for Microsoft 365 Copilot

Copilot works across files, email and meetings, so a good rollout starts with permissions and a small pilot, not a company-wide switch-on.

Prepare

Clean up access first.

Copilot can surface whatever a user is allowed to see. Review SharePoint, OneDrive and Teams permissions, labels and sensitive content before enabling it.

Pilot

Small group, clear tasks.

Choose teams with frequent, checkable tasks such as meeting summaries, email drafting and Excel analysis. Give them a short guide and a place to share what works.

  • Define three tasks per team.
  • Capture a baseline.
  • Hold a two-week review.

Measure

Look for outcomes.

Compare time spent and quality before and after for the pilot tasks, and gather qualitative feedback. Decide what to scale, what to adjust and what to stop.

Scale

Training and governance.
